Reports are usually sent by e-mail, to avoid charges for postage.  No charge is made for time spent preparing and typing your report.

The only additional charges relate to postage and copies/photos (if required), payable after the search is completed but before despatch:

Postage to UK, 1st class recorded, standard charge for up to 16 x A4 or up to 8 X A3 copies =  £5.00 per envelope; £7.00 per tube;

Postage to overseas destinations, International Signed For or Airsure postage: charges vary according to destination, at cost plus £3.00 handling.  Items addressed PO Box Nos. have to be sent using Airsure.

Should any items sent by these methods go astray in the post, they will be replaced and re-sent free of charge.  The charges made cover personal visits to the Post Office; the time taken is not deducted from your search time.

For basic tracking of copies/photos sent by International Signed For post or Airsure, enter the reference number I provide at:

http://www.postoffice.co.uk/track-trace

http://www.parcelforce.com/track-trace

If you are out when the postman attempts to deliver your package, a card will be left with details of how to arrange re-delivery.  It is your responsibility to arrange re-delivery within 2 weeks of the original delivery attempt.  Please let me know in advance if you are going away for an extended holiday so that your documents are not sent during this time.

Digital photos:
Where digital photography* is permitted (completion of copyright declaration form may be required) digital photos can be provided:

Digital photos, sent in a zipped folder by e-mail via Opentext and available for downloading from that site for 2 months.

Special arrangements applying to searches at the National Archives:

National Archives' managers made a decision to remove all self-service copying facilities in December 2017, so it is no longer possible for me to obtain paper copies of entries found in any  records at the National Archives which have been microfilmed or digitized or which are viewed on microfiche.  Instead of paper copies, I am usually able to provide a client with a digital copy from microfilm, microfiche or computer of any relevant entry which accompanies their report.  If it is not possible to provide a digital copy by e-mail, a transcription of the entry will be provided, together with a photograph of the entry taken from the microfilm or microfiche reader or from the computer screen (n.b. the quality of such photos is not as good as the quality of the paper copies formerly provided).

Photographing of entries found in original material will continue as previously.

I do not make any charge for copies of material viewed at the National Archives if sent to clients as digital copies, or for folders of photos sent by e-mail via Hightail Send/Opentext.

*Some record offices (including London Metropolitan Archives and Guildhall Library) charge a fee for the use of a digital camera and this fee would be payable by the client in addition to the charges above.  If photos are taken for more than one client at the same archive on the same day, then the permit fee will be divided between them unless separate fees for each client are charged by the specific record office.
